General

  • Photographer Account: Central management of profile, country, time zone, and account security with two-factor authentication.
  • Presets: Saved price defaults, sales options, and basic shooting parameters remain available for reuse.
  • Quick Assignment: QR scan, QR card photographed alongside the image, or screenshot for later assignment of shoots, QR codes, and collections.
  • Professional sales: In the Professional plan, sales are processed via Stripe Connect, and all billing data is protected.

QR Codes & Cards

  • Flexible card production: QR codes as individual digital cards, print-ready ContrimaCards for Avery-Zweckform sheets in DIN A4 or US Letter, and as DTP/data merge exports for larger productions.
  • QR Session Data: Country, language, license model, and usage context are already stored on the QR card. Communication with photographed individuals takes place in the pre-set language after the QR scan; country and language can be customized.
  • Photographer code: Each QR card contains an additional photographer code for later assignment of the card, shoot, and collection.
  • Custom card design: In the Professional plan, your own corporate design can be used as a PDF background, supplemented by Contrima’s QR code and photographer code.

QR Activation

  • Access and permanent link: Photographed individuals activate their personal access via the QR code. The country and language can be customized.
  • Participant, group, and administrator logic: The consent status is visible, even if additional administrators need to be included via their own invitation links.
  • Automatic notifications: Photographed individuals or administrators are notified when images are made available. Photographers receive a notification if no images have been made available after a defined period of time.

Upload

  • JPEG-centric workflow: Contrima uses JPEG files as the original source.
  • Robust upload process: Uploads of up to 500 files are possible; large files are transferred via multipart upload, and transfers can be resumed after a connection is lost.
  • Directly into collections: Contrima does not replace photo management software or a RAW processor. The selected JPEGs are added directly to specific collections.
  • Recognize originals: Existing original files are recognized and can be used in multiple collections—without re-uploading or duplicating storage.

Originals & Storage

  • Protected original management: Each original file is stored only once; further uses are additional placements—without additional storage consumption and without charge.
  • Active storage, archive storage, and expansions: Contrima distinguishes between active storage needed for the short term and long-term archive storage, with a clear overview of both areas that can be expanded as needed.
  • Automatic archiving: After 90 days, originals without relevant usage are automatically moved to archive storage. This also applies to placements.
  • Original Download and Restore: Images are shared as unaltered originals. Archived originals can be restored free of charge within a maximum of 12 hours; the estimated time until availability is displayed.

Collections

  • Centralized collection management: Shoots, images, prices, package options, approvals, and usage steps are recorded in collections—with status information on activations, license statuses, revocations, storage status, and downloads.
  • Titles and Covers: Collections can be named and made visually recognizable with a cover image.
  • Documentation Components: Images, accesses, and license agreements are bundled together so that it remains clear what belongs together.
  • Search and filters: Search criteria for collections include title, QR code, photographer code, status, image inventory, favorites, revocations, licensing model, and participant email.
  • Read-only mode: Published collections are frozen and displayed in a controlled read-only mode to preserve the unaltered state for evidentiary purposes.

Collection Editor

  • Editing: Title, images, cover, order, visibility, and other details are edited directly in the editor.
  • Image Information: Original file, file size, capture time, storage usage, and download information are displayed for each image. The capture date can be adopted as the collection date.
  • Favorites: Images specifically marked for the showcase and gallery remain permanently in active memory.
  • Clear Structure: Overview, additions, group composition, prices, and notes are displayed in separate sections. Additions or corrections can be made in the editor at any time.
  • Pricing: Prices for individual images and collections, sales packages, and discounts are managed in EUR and USD. Additional currencies can be handled via Stripe at checkout. Currency conversion is based on ECB rates.

Gallery preview & presentation

  • Preview from the visitor’s perspective: View and test the gallery as photographed subjects will experience it later—image order, look, impact, watermark display, and navigation via thumbnails, slideshow, or swipe.
  • Secure preview: The presentation is offered exclusively with available variants and works only with derivatives, without disclosing original files.

Licensing

  • Basic models, options, agreements: Giving, exchanging, selling—the respective approvals, usage options, or license agreements are mapped out upon specification.
  • Exchange model: The exchange model includes an expanded scope of use in return, for example for portfolios, lectures, exhibitions, or prints for sale.
  • Evidence of the license agreement: The respective license agreement is documented so that the exact legal text remains transparent to all parties involved for each collection.
  • Original English Version: License texts always adhere to the legally binding English version.
  • Revocation logic: Revocations or changes can be made via the personal permanent link, provided this is legally permitted.

Provision

  • Activation and consent status: The process is transparent for all parties involved, making it clear whether any participants or consents are still missing, and if so, which ones.
  • Conditional image provision: Image access and downloads are only possible once all requirements are met—depending on the license model and consent.
  • ZIP delivery: Larger image sets can be provided collectively as a ZIP file.
  • License Provision: All parties involved receive a license PDF via email. The file can be accessed at any time via the respective permanent link.

Evidence archive

  • Long-term backup: Originals and thumbnails, approvals, and license statuses remain permanently archived.
  • Efficiency through active and archive storage: Separating active editing from long-term proof archiving saves storage costs. Multiple uses as placements conserve resources.
  • Agreements as PDF proof: Relevant license texts and supporting documents are generated based on the version valid at the time of the agreement.
  • Originals as proof: Archived originals can be made available within 12 hours via restore if needed.
  • Archive storage expansion: The evidence archive can be expanded as needed with additional storage packages.

Showcase & Gallery

  • Photographer Showcase: Selected photographic works can be displayed in a dedicated showcase.
  • Contrima Gallery: Contrima can curate marked favorites and display them in a public gallery.
  • Controlled Publication: Photographers decide for themselves which images are displayed. Public display is only possible with publication rights.
  • Self-Promotion and Reach: In the Professional Plan, you can add a logo, company name, home base, website, and contact information to boost visibility and brand awareness.
